Salesfire ("we," "us," or "our") operates the Salesfire platform, an AI-powered sales automation service. This Privacy Policy explains how we collect, use, disclose, and protect your information when you use our website, web application, and services.
By using Salesfire, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use our services.

2. Who This Policy Covers
This policy applies to three categories of individuals:
- Customers and Users: Businesses and individuals who create a Salesfire account and use the platform.
- Prospects and Contacts: Individuals whose data is uploaded by customers or processed by Salesfire's AI on behalf of customers. For this data, Salesfire acts as a data processor and your customer is the data controller.
- Website Visitors: Individuals who visit our marketing website without logging in.
For enterprise customers processing data subject to GDPR, a Data Processing Agreement (DPA) is available upon request.
3. Data We Collect
Data You Provide Directly
- Account information: name, work email, company name, job title
- Billing data: payment details processed by our PCI-DSS compliant payment processor (Stripe). We do not store raw card numbers.
- Workspace configuration: team members, roles, and permissions
- Support communications: messages and inquiries sent to our team
Data Collected Automatically
- Log data: IP address, browser type, operating system, pages visited, timestamps, referring URLs
- Device identifiers and session data
- Usage analytics and error/crash reports
Prospect and Lead Data (Customer-Controlled)
- Contact information: names, email addresses, phone numbers
- Company information: company name, size, industry, website
- Sales pipeline data: deal stages, revenue amounts, notes
- Call recordings, AI call transcripts, and email conversation content
- CRM data synced from integrations
Data from Third Parties
- Advertising data from Meta Ads (campaign metrics, audience data, conversion events)
- Data enrichment from business data providers used in prospecting
- Analytics from third-party tools integrated with the platform
AI-Generated Data
- Lead scoring and qualification outputs
- Conversation summaries and sentiment analysis
- Deal probability predictions and recommended next actions
4. How We Use Your Data
We use the data we collect for the following purposes:
- Providing and operating the Salesfire platform and services
- Processing payments and managing your account
- Executing AI-powered outreach (calls, emails, follow-ups) on behalf of customers
- Advertising integration and campaign optimization (e.g., Meta Ads)
- Security monitoring, fraud prevention, and abuse detection
- Product analytics, performance monitoring, and service improvement
- Sending transactional communications (receipts, alerts, service updates)
- Complying with legal obligations and responding to lawful requests
5. AI and Automated Decision-Making
Salesfire uses artificial intelligence and automated systems to provide its core services, including:
- Lead scoring and prospect qualification
- Automated outreach sequencing and follow-up scheduling
- AI voice calls placed on behalf of customers
- Deal prioritization and pipeline analysis
These automated processes use data inputs such as contact information, engagement history, and behavioral signals to generate scores, predictions, and recommendations. Human review is available for AI-driven decisions upon request.
California residents may have the right to opt out of certain automated decision-making under the California Consumer Privacy Act (CCPA) and its Automated Decision-Making Technology (ADMT) regulations.
6. AI Voice Calls and TCPA Compliance
Salesfire's AI voice agent places calls on behalf of customers. We comply with the Telephone Consumer Protection Act (TCPA) and applicable state laws:
- Recipients are informed at the start of every AI call that they are speaking with an AI-generated voice.
- Customers are responsible for obtaining prior express written consent before AI calls are placed to mobile numbers.
- Opt-out requests ("stop," "remove me," "do not call") captured during calls are processed within 10 business days.
- Customers must maintain TCPA-compliant contact lists and comply with Do Not Call registry requirements.
- Calls may be recorded subject to applicable call recording consent laws. In all-party consent states, consent is obtained before recording begins.
Salesfire does not initiate AI calls independently. All calls are placed at the direction and on behalf of our customers, who bear responsibility for compliance with their own outreach practices.
7. Third-Party Sharing
We share data with the following categories of service providers and partners:
- Cloud infrastructure and database providers (Supabase, Vercel)
- Payment processors (Stripe)
- Advertising platforms (Meta Platforms) for campaign management and optimization
- AI and language model providers for call and conversation processing
- Email delivery services for transactional and marketing communications
- Analytics providers for product usage monitoring
Salesfire does not sell your personal information. We do not share personal information for cross-context behavioral advertising without your consent.
8. Cookies and Tracking
We use cookies and similar technologies on our website and application:
- Essential cookies: Required for authentication, security, and core functionality.
- Analytics cookies: Help us understand how our site is used and improve performance.
- Marketing cookies: Used for advertising measurement and conversion tracking (e.g., Meta Pixel).

9. Data Retention
We retain data for as long as necessary to provide our services and fulfill the purposes described in this policy:
- Account and user data: duration of your account plus 90 days after termination
- Billing records: 7 years (tax and accounting requirements)
- Call recordings and transcripts: customer-configurable, default 1 year
- Prospect and contact data: duration of customer account plus 30 days
- Audit and security logs: up to 3 years
When a customer terminates their account, all associated data is deleted within 90 days, except where longer retention is required by law.
10. Your Rights
Depending on your jurisdiction, you may have the following rights regarding your personal data:
- Right to access: request a copy of the data we hold about you
- Right to correction: request correction of inaccurate data
- Right to deletion: request deletion of your personal data
- Right to portability: receive your data in a machine-readable format
- Right to opt out: opt out of the sale or sharing of personal data (California residents)
- Right to object: object to automated decision-making or processing based on legitimate interest (EU/EEA residents)

EU/EEA residents have the right to lodge a complaint with their local Data Protection Authority.
11. International Data Transfers
Salesfire's servers and infrastructure are primarily located in the United States. If you are located outside the US, your data may be transferred to and processed in the US.
For transfers of EU/EEA personal data, we rely on Standard Contractual Clauses (SCCs) or other approved transfer mechanisms to ensure adequate data protection.
12. Security
We implement industry-standard technical and organizational measures to protect your data:
- Encryption in transit (TLS 1.2+) and at rest (AES-256)
- Multi-factor authentication available for all user accounts
- Role-based access controls and principle of least privilege

- Data breach notification within 72 hours to applicable authorities and affected individuals
No system is 100% secure. While we take every reasonable precaution, we cannot guarantee absolute security of your data.
13. Children's Privacy
Salesfire is a business-to-business platform designed for professional use. We do not knowingly collect personal information from individuals under the age of 18. If we become aware that a minor's data has been collected, we will promptly delete it.
14. Text Messaging (SMS)
If you have opted in to receive text messages from Salesfire, we may send you automated marketing text messages at the phone number you provided. These messages may include promotional offers, appointment reminders, follow-up communications, and updates about our services.
Message frequency may vary. Message and data rates may apply.
To opt out of text messages at any time, reply STOP to any message you receive from us. You may also opt out by emailing support@salesfire.ai or by submitting a request through our website. We will process all opt-out requests within 10 business days and send one final confirmation message.

No mobile phone numbers or SMS consent information will be shared with third parties or affiliates for marketing or promotional purposes.
15. Phone Calls
If you have provided your phone number and consented to receive calls, Salesfire may contact you using automated telephone dialing systems, artificial or prerecorded voice messages, and AI-generated voice calls for marketing and informational purposes.
You may revoke your consent to receive automated calls at any time by contacting us at support@salesfire.ai, by submitting a request through our website, or by any other reasonable method. We will honor all revocation requests within 10 business days.
We comply with all applicable federal and state laws governing automated calling, including the Telephone Consumer Protection Act (TCPA).
16. AI-Generated Communications
Salesfire uses artificial intelligence technology to conduct sales calls and communications on behalf of our business. These calls use AI-generated voice technology which the Federal Communications Commission (FCC) classifies as artificial or prerecorded voice under the Telephone Consumer Protection Act (TCPA).
By consenting to receive calls from Salesfire, you are specifically consenting to receive calls that may use AI-generated voice technology.
At the start of each call, our AI agent will identify itself as representing Salesfire and state the purpose of the call.
You may opt out of receiving AI-generated calls at any time using any of the opt-out methods described in the Phone Calls section above.
17. Email Communications
If you have provided your email address, Salesfire may send you marketing emails including promotional content, service updates, and communications related to your inquiry.
You may unsubscribe from marketing emails at any time by clicking the unsubscribe link in any email we send or by contacting us at support@salesfire.ai.
We comply with the CAN-SPAM Act. Every marketing email we send includes our physical mailing address and a clear mechanism to unsubscribe.
18. Consent Records and Do Not Call
We maintain records of all consents collected including the date, time, IP address, and exact language presented at the time of opt-in. These records are retained for a minimum of four years.
We respect the National Do Not Call Registry. If you have registered your number on the federal or any state Do Not Call list, we will only contact you if you have provided us with prior express written consent through our opt-in form.

19. Your Right to Opt Out
You may revoke consent to receive any or all communications from Salesfire at any time using any reasonable method including:
- Replying STOP to any text message
- Saying "stop" or "unsubscribe" during a call
- Emailing support@salesfire.ai
- Submitting a request through our website contact form

We will process all opt-out requests within 10 business days. After opting out you may receive one final confirmation message. No further marketing communications will be sent after your request is processed.
20. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated via email or in-app notification at least 30 days before they take effect. Continued use of Salesfire after the effective date constitutes acceptance of the updated policy.
